The type and scope of contractually owed services are determined according to the specification of services given by Aspera Explorations on which the contract is based. No binding commitment to special requests can be made. The classification of tourist accommodation stated by Aspera Explorations in the specification of services refers to the classification typical in the respective country, unless Aspera Explorations has specified a different classification. Bookings of rooms suitable for persons with disabilities are subject to special requests and confirmation by Aspera Explorations in written form. Unless explicitly stated, it cannot be presumed that hotel bookings are equipped for persons with disabilities, accept pets, or cater to special requests. Aspera Explorations does not warrant any special requests as to rooms, equipment and beds which deviate from its specification of services. Final travel documents will be prepared by Aspera Explorations no later than 5 days prior to the travelers’ arrival and shall be transmitted to Client in due course. In cases of last-minute bookings travel documents will be issued to the clients upon full completion of the confirmation and payment processes.
Each project will be handled by a designated manager, who is responsible for the project execution and serves as 24\7 support to the ongoing project. In case of unavailability or any other emergency the manager will assign the project control to a colleague and correspond their contact details to the client in due order. If there’s a tourleader available, they will serve as a primary emergency contact for the client on location in addition to the back office manager support.
Please note, that we will start confirming services once the Clients’ initial payment has been received. Unless otherwise specified, Aspera Explorations requests a deposit of 20% of the total cost of the planned trip/itinerary. Should the cost of individual services require a prepayment exceeding 20% of the total cost of the trip, Aspera Explorations may require a higher deposit to secure these services. All services and itineraries, unless otherwise specified, must be prepaid in full 30 days prior to arrival. If bookings are made within 30 days of arrival, full prepayment must be received immediately to secure and confirm such booking. If payments are not made on time, Aspera Explorations reserves the right of refusal to confirm a booking or to impose a last-minute fee to cover costs.

Clients/Travelers may cancel their booking at any time, on the condition that they communicate the cancellation notice in writing to Aspera Explorations. Cancellation terms and policies may vary depending on the country of service, the type and specification of service, service quantity and date of the trip cancellation. Booking conditions and cancellation policies will be clearly stipulated in the booking confirmation received on each booking. Postponing or rescheduling of a booking will be considered on an individual basis and is subject to the cancellation charges outlined herein. No refund for unused portions of an itinerary, cancellations made after the trip has begun, or early departures will be given. Refunds will be made by bank wire transfer; all charges shall be borne by the recipient.
Unless stipulated otherwise, the cancellation policies are as follows -
In case of a trip being cancelled between confirmation and 30 days prior to arrival, 20% of the total cost will be charged. If there are more monies left from the deposit, these can be refunded or used as a credit towards future travel (less any non-refundable items) within 12 months.
In case of a cancellation from 30 to 21 days prior to arrival, 50% of the total cost will be charged. The remaining 50% can be refunded or used as a credit towards future travel (less any non-refundable items) within 12 months.
In case of a cancellation less than 21 days prior to arrival, 100% of the total cost will be charged.
For each specific trip the cancellation policies in the respective booking confirmation are superior to these generic policies and should be considered primary.
Aspera Explorations strongly suggests that travelers buy a travel insurance covering unexpected circumstances preventing them from travelling.
